Objectives

The primary objective of this tender is to appoint a catering service provider to deliver catering services for the Natural Resources Management Programme (NRMP) launch event scheduled for 8 May 2026 at Nqadu Great Place, Eastern Cape. The service aims to provide high-quality, safe, and nutritious food options including breakfast, lunch, desserts, and dietary accommodations such as halal and vegetarian meals, to VIP guests, learners, teachers, and SANSA staff involved in the event.

Scope

The scope of work includes:

• Provision of catering services for the event on 8 May 2026, including breakfast, lunch, and refreshments.
• Preparation and serving of pre-packed meals for VIP guests and learners, with specific menu items outlined.
• Provision of crockery, cutlery, serving stations, and coordination with event arrangements.
• Ensuring food safety, freshness, and timely delivery (hot and fresh meals one hour before the event).
• Provision of additional services such as beverages, desserts, and dietary-specific options.

Technical Requirements

The technical requirements for the catering services include:

• Ability to serve breakfast, lunch, and refreshments to approximately 400 guests, including VIPs and learners.
• Pre-packed breakfast meals for 300 guests, with specific menu components (fruit, yoghurt, muffins, sandwiches, banana bread, etc.).
• Hot and fresh meals for VIP guests, including meat, vegetables, salads, starch, and beverages.
• Provision of halal and vegetarian meal options.
• Supply of crockery, cutlery, and serving stations, and coordination with event venue arrangements.
• Adherence to food safety standards in preparation, storage, packaging, and transportation.
• Delivery of meals at specified times, with the VIP breakfast station available from 08:00 to 10:00.

Skills Requirements

The successful bidder must demonstrate:

• Experience in providing large-scale catering services for events of similar size and scope.
• Capability to prepare and serve a variety of dietary-specific meals (halal, vegetarian).
• Proficiency in maintaining high standards of food safety and hygiene.
• Ability to coordinate logistics effectively, including timely delivery and setup at the event venue.
• Provision of quality crockery, cutlery, and serving equipment.
• Compliance with all relevant health and safety regulations and standards.
• Capacity to manage and deliver services within the specified timeline and budget.
