Objectives

The primary objective of this tender is to procure the supply and delivery of reagents and the servicing of laboratory equipment for a period ending 30 June 2029. The aim is to ensure the availability of quality laboratory reagents and properly maintained lab equipment to support wastewater treatment processes and related laboratory functions within the municipality.

Scope

The scope includes:

• Provision of reagents such as coagulants, polymers, disinfectants, pH control chemicals, and related treatment chemicals.
• Servicing, calibration, and maintenance of laboratory instruments including meters, probes, and sampling equipment.
• Provision of consumables like buffer solutions, measuring cylinders, water sampling bottles, extendable sludge samplers, and reagents for chlorine and dissolved oxygen measurement.
• Instrument calibration, servicing, and repair to ensure compliance with specified standards.
• Delivery of all items to the municipal Water and Sanitation Depot in Vredenburg, with fixed pricing until 30 June 2029.

Technical Requirements

The technical requirements include:

• Compliance with detailed specifications for chemicals, reagents, and laboratory instruments, including manufacturer’s brochures and SANAS accreditation for calibration and testing.
• Delivery of chemicals in secure, appropriate packaging with proper labelling, including safety and legislative compliance.
• Provision of instruments with calibration solutions, electrolyte solutions, and accessories supporting accurate measurement of parameters such as pH, dissolved oxygen, and chlorine levels.
• Servicing and calibration of instruments, including initial inspection, adjustment, and certification, with compliance certificates issued upon completion.
• Adherence to specified delivery timelines (within 30 calendar days) and inclusion of all costs in the bid.
• Price adjustments permissible from 01 July 2027, based on CPI, with documented proof of any increases.

Skills and Skills Requirements

The skills and expertise required for bidders include:

• Technical proficiency in laboratory chemical handling, storage, and safety standards.
• Experience in servicing, calibration, and maintenance of laboratory instruments such as pH meters, DO meters, chlorine analyzers, and associated probes.
• Ability to provide detailed technical documentation, including calibration certificates, test reports, and compliance certificates from SANAS-accredited laboratories.
• Capability to deliver chemicals and equipment within specified timeframes and in compliance with legislative and safety standards.
• Proven experience in supplying wastewater treatment chemicals and laboratory equipment, supported by contactable references and successful project completion records within the last five years.
• Knowledge of relevant health, safety, and environmental regulations applicable to chemical handling and laboratory operations.
