Objectives

The primary objective of this tender is to appoint a qualified service provider to supply and deliver bread for animals used as supplementary feed in laboratory research. The bread must be nutritionally consistent, safe, and suitable for research environments, ensuring a stable source of carbohydrates and energy for laboratory animals over a period of 12 months.

Scope

The scope includes:

• Supply and delivery of approximately 120 loaves of wholesome brown bread or equivalent weekly to the South African Medical Research Council (SAMRC) Delft Animal Centre.
• Provision of bread that is fresh, free from harmful contaminants, and made of easily digestible formulation.
• Packaging in sealed, food-grade containers with expiry dates and nutritional information.
• Delivery on a weekly schedule, with the option for SAMRC to collect if necessary.
• Adherence to food safety standards and institutional animal care requirements.
• Implementation of a service level agreement for 12 months.

Technical Requirements

The technical specifications for the bread include:

• Brand-specific or similar brands to ensure ingredient consistency.
• Availability of all quoted items in stock with an estimated time of arrival (ETA) of immediate delivery.
• Source from certified suppliers complying with food safety standards.
• Fresh delivery scheduled weekly, with the bread made of an easily digestible formulation.
• Product must be fit for human consumption and meet institutional animal care standards.
• Packaging must be sealed, food-grade, with expiry dates and nutritional information.
• Shelf life of 4–7 days, with stability during storage in cool, dry conditions, preventing mold or spoilage.

Skills and Experience Requirements

Applicants must demonstrate:

• Company profile with at least 3 years’ experience as a service provider in the public sector, preferably with experience supplying bread or groceries to research institutions, universities, biomedical facilities, or government departments.
• Proven record of supply and delivery of bread or groceries, supported by reference letters on company letterhead with contact details and evidence of on-time delivery performance.
• Dedicated customer support, including a CV of an administrator with at least 5 years’ administrative experience serving as the account manager or point of contact, responsible for responsiveness and issue resolution.
• Logistics and distribution capability plan detailing delivery lead times (preferably within 1-5 working days) and an established, reliable delivery infrastructure.
