Objectives

The primary objective of this tender is to appoint a service provider to deliver terrain maintenance and gardening services at Timbadola Sawmill for a period of three (3) years. The goal is to ensure the upkeep of the sawmill environment, including compound areas, staff and residential houses, recreational zones, and fencing, maintaining a clean, safe, and functional environment in accordance with specified standards.

Scope

The scope of work includes:

• Provision of terrain maintenance and gardening services across the Timbadola Sawmill site, including compound, staff houses, recreational areas, and fences.
• Weekly trimming of vegetation, weed control, and fence maintenance on a monthly basis.
• Maintenance of personnel houses and two additional houses in Hanglip Louis Trichardt.
• Supply of own equipment, tools, and vehicles, with the client providing cleaning consumables.
• Management of human resources, including grass cutters and general workers.
• Adherence to safety, health, environmental, and quality standards as per SHEQ requirements.
• Compliance with legal, employment, and statutory labor requirements, including minimum wages and safety regulations.
• Coordination with other contractors and stakeholders on-site.

Technical Requirements

The technical requirements specify:

• Use of appropriate equipment and tools, supplied by the contractor.
• Implementation of safety, health, environment, and quality (SHEQ) standards, including PPE and safety training.
• Provision of qualified personnel with valid driver’s licenses and Professional Driving Permits (PDP).
• Regular reporting, progress meetings, and adherence to project timelines.
• Development and submission of a detailed work plan in Gantt chart format, including key activities, milestones, and risk allowances.
• Compliance with local content and enterprise development policies, including engagement with targeted local enterprises and community participation.
• Implementation of environmental laws and regulations, including proper waste management and vegetation control.

Skills Requirements

The skills and qualifications required from the service provider include:

• Experience in terrain maintenance and gardening services within similar environments.
• Qualified personnel with relevant skills in landscaping, weed control, and equipment operation.
• Health and safety competency, including trained safety officers and first aiders.
• Knowledge of environmental regulations and SHEQ standards.
• Ability to develop and manage work plans, reports, and progress updates.
• Strong coordination and communication skills to liaise with clients, subcontractors, and local communities.
• Demonstrated compliance with local content and enterprise development policies.
