1.1. The University of Pretoria, Facilities Management Department, is responsible for the maintenance and legal compliance of the Standby Generator System at the University. 1.2. It is against this background that the Department is tasked with the responsibility to appoint reputable Service Providers to assume the various responsibilities of Standby Generator System at the University, as specified below. 1.3. The successful Service Providers will be appointed in view of the ethos of the University to continuously measure and monitor the overall performance in the use of effective and efficient management practices and technological expertise. 1.4. There are four parts to achieving this goal: 1.4.1. UP Contract Manager 1.4.2. Operations and Inspections Team 1.4.3. Services and Repairs Team 1.4.4. Compulsory Information Session and Site Visit Site visit after information session (Non-compulsory) Date 08-10-2025 Time 10h00 Venue Room 1-62 Technical Services Building, Hatfield Campus Contractors to present identification at the gate (allow min. 30 minutes for registration) An attendance register will be signed and considered as the mandatory document used to verify that the bidder attended the session. The attendance register shall be closed 10 minutes after the time indicated above. Late arrivals of bidders shall be disqualified from the tender evaluation process. Prospective bidders must read the bid specification document and bring a copy to the information session. Please print the tender document and bring it, along with your ID/Driver’s License, to gain access at the Security gate.

Proof of Bank Account: Submit Original Stamped Letter From Bank

Valid B-BBEE Certificate (Sector Specific if Required in the Tender): Valid B-BBEE Certificate from a SANAS accredited verification agency or sworn affidavit as prescribed by the B-BBEE codes of good practice per sector

VAT Registration: Copy of VAT registration certificate. In the abscence of VAT Registration provide a letter with reasons for not being registered for VAT

Company Profile: Brief company profile

Proxy: Proxy : Attach a director’s resolution or proxy, authorizing the signatory on the tender documents on behalf of the Service Provider if applicable

Audited Financial Statements: Audited Financial Statements for the two previous financial years

Department of Labour Letter of Good Standing: Valid Letter of Good Standing from the Department of Labour for Compensation for Occupational Injuries and Diseases (COIDA)
