Objectives

The primary objective of this tender is to procure services for the printing of leaflets supporting various business initiatives for the City of Cape Town. The project aims to produce high-quality, full-color leaflets in different sizes and formats, with volumes varying from 500 to over 100,000 copies, depending on specific project needs.

Scope

The scope includes the printing of various types of leaflets such as A3, A4, A5, and other specified formats, with different folding and printing specifications (full color, single or double-sided, one or multiple colors). The contract covers printing, finishing, shrink-wrapping, and delivery in packs of 500, with a contract period of 36 months. The work involves producing leaflets for multiple years (Year 1, Year 2, Year 3) with specified quantities and sizes, adhering to detailed technical specifications provided in the tender.

Technical Requirements

• Print in full color (CMYK) or one color, on specified paper types (135gsm matt art).
• Produce leaflets in various formats:
  • A3 fold to 210x99mm (DL)
  • A4 fold to 210x99mm (DL)
  • A4 flat (single/double-sided, full color or one color)
  • A5 flat (single/double-sided, full color or one color)
  • Folded leaflets (A4 to A5, A3 to A4, etc.)
  • Special folds such as fold to DL, fold to A5, fold to A4
• Deliver shrinkwrapped in packs of 500, with specified finishing and folding instructions.
• Samples of each leaflet type must be submitted for quality evaluation before the contract commencement.
• Samples must be full color, clearly marked, and delivered to the Communication Department by the deadline.
• Compliance with detailed specifications regarding print quality, alignment, and finishing is mandatory.
• Provide certificates and proof of compliance, including BBBEE, tax compliance, and insurance documentation.

Skills and Capabilities Requirements

• Proven experience in printing leaflets, with evidence of at least 3 years in the business.
• Demonstrated capacity to produce high-quality printed materials in various formats and sizes.
• Ability to meet strict deadlines and deliver consistent quality over the contract period.
• Technical expertise in color printing, folding, finishing, and packaging of printed leaflets.
• Capability to provide samples and conduct quality testing as part of the evaluation process.
• Compliance with occupational health and safety standards, including submission of a health and safety plan if required.
• Ability to supply and deliver large volumes reliably, with appropriate logistics and packing arrangements.
• Registered on the CCT Supplier Database and the National Treasury Central Supplier Database.
