Objectives

The primary objective of this RFI is to gather market intelligence to evaluate available Point of Sale (POS) solutions, their capabilities, and indicative costs. Specifically, the CSIR aims to identify systems that support Food & Beverage (F&B) operations within its Conferencing & Accommodation group, with potential for future expansion to manage other operational stocks such as conference supplies and maintenance items.

Scope

The scope of the RFI includes:

• Provision of a POS system supporting CSIR’s Conferencing & Accommodation (C&A) operations.
• Support for centralised and decentralised inventory management, including stock reconciliation and audit trails.
• Reporting and management information capabilities.
• User and access control functionalities.
• Integration of invoice scanning and automation software.
• Hardware specifications and system integration capabilities.
• Implementation, training, and ongoing support services.
• Information security and compliance considerations.
• Indicative cost structure for the proposed solutions.

Technical Requirements

The technical requirements for the POS system include:

• Support for centralised and decentralised inventory management, including stock reconciliation and audit trails.
• Capability to generate accurate reports and management information.
• User and access control features to ensure security.
• Integration with invoice scanning software to digitize supplier invoices.
• Hardware details supporting POS operations.
• Ability to integrate with existing or future systems used by CSIR C&A.

Skills Requirements
