Objectives

The tender aims to select suitable and capable service providers to supply minor décor, sign language interpreters, catering, and sound system services for the Youth Month commemoration event at eThekwini Mayville on 12 June 2026, for the Department of Public Works and Infrastructure.

Scope

The scope includes:

• Provision of minor décor for the event venue
• Sign language interpretation services (2 interpreters for English and IsiZulu)
• Catering services, including breakfast and lunch for specified numbers of attendees, including vegetarian options
• Sound system setup, including PA system and roving microphones
• Preparation of décor before the event

Technical Requirements

The service providers must:

• Ensure administrative compliance with bid regulations, registration with CSD, and other prescripts
• Submit three (3) reference letters for similar projects of comparable value
• Indicate how they claim points for ownership by youth and women, supported by documentary proof (identity documents)
• Download tender documents from the departmental website
• Attend any official briefing or site inspection if applicable
• Provide firm prices for the services, including VAT, valid for 90 days
• Complete all relevant bidding forms and declarations as per the bid documentation

Skills and Competency Requirements

The bidders must demonstrate:

• Experience in providing décor, interpretation, catering, and sound system services for similar events
• Ability to meet administrative and technical compliance standards
• Capability to deliver the specified services on the event date
• Provision of documentary proof of ownership by youth and women, with valid identity documents
• Understanding of procurement procedures, including registration on CSD and tax compliance
