Objectives

The primary objective of this tender is to procure the supply and delivery of cleaning materials to the Bergrivier Municipal Stores for a period from 1 July 2026 until 30 June 2029. The aim is to ensure a consistent supply of various cleaning products that meet specified quality standards to support municipal operations.

Scope

The scope includes the provision of a wide range of cleaning materials as detailed in the specifications, covering items such as ammonia cleaner, window cleaner, bleach, air fresheners, disinfectants, toilet cleaners, paper products, detergents, and other cleaning supplies. The delivery must be made to designated municipal stores in Piketberg, Porterville, and Velddrif within specified delivery times, with the flexibility for the municipality to procure varying quantities during the contract period.

The contract duration is three years, with the possibility of procurement of any number of items during each financial year, based on the municipality’s needs.

Technical Requirements

• Suppliers must provide products that conform to the detailed specifications listed for each item, including quality, packaging, and labeling standards.
• Samples of all awarded items must be submitted within seven days of appointment for approval before full delivery.
• All products must be supplied with proper documentation, including product catalogues, certificates of compliance, and samples.
• Items must be delivered to specified municipal stores during designated hours, with penalties for late delivery.
• Pricing must be inclusive of VAT and cover all costs, including delivery, for the entire contract period.
• Suppliers must meet minimum requirements such as valid B-BBEE certificates, tax compliance, and registration on the Central Supplier Database (CSD).

Skills and Capacity Requirements

• Proven experience in supplying and delivering cleaning materials, supported by references and past contract performance evaluations.
• Capability to provide a comprehensive product catalogue and samples that meet quality standards.
• Ability to deliver goods within specified timeframes and to handle logistical arrangements for multiple delivery points.
• Competence in complying with municipal procurement policies, including adherence to health and safety regulations and proper documentation.
• Financial stability to sustain the contract over three years, with competitive pricing and VAT compliance.
• Registered on the National Treasury’s CSD and compliant with all tax and legal requirements.
