Objectives

The primary objective of this tender is to establish a 12-month contract for the comprehensive service and maintenance of the CCTV monitoring system at multiple specified locations, including 581 Swart, 302 Emus, 230 Rigel, 320 Cygnus, 153 Edward, 79 Bogey, 12 Anselia, 190 Strelitzia, and 214 Bauhinia Street. The aim is to ensure the continuous, efficient, and reliable operation of the CCTV infrastructure through scheduled servicing, repairs, and technical support.

Scope

The scope encompasses:

• Provision of routine preventive maintenance and inspections of CCTV cameras, NVRs, monitors, switches, and associated equipment.
• Repair and replacement of faulty or worn parts, including electrical and mechanical components.
• Calibration, adjustment, and cleaning of CCTV hardware to maintain optimal performance.
• Provision of spare parts, consumables, and necessary materials for maintenance activities.
• Documentation of all maintenance activities, including service sheets, job cards, and reports.
• Adherence to specified technical standards and safety regulations during service delivery.
• Coordination with the Department of Public Works and Infrastructure for site access, security protocols, and reporting.

Technical Requirements

The technical requirements include:

• Use of certified, trained personnel with at least 2 years of traceable experience in CCTV and access control maintenance.
• Compliance with the Department’s specifications for CCTV hardware, including IP cameras, NVRs, monitors, and network infrastructure.
• Implementation of preventative maintenance schedules as per the provided service and inspection plans.
• Provision of appropriate tools, testing equipment, and safety gear for all maintenance tasks.
• Adherence to Occupational Health and Safety Act regulations and security clearance protocols.
• Use of approved spare parts and consumables, with proper inventory management and labeling.
• Preparation of detailed reports, including inspection findings, repair actions, and system status updates.

Skills Requirements

The tenderer must demonstrate:

• Proficiency in CCTV system installation, troubleshooting, and maintenance.
• Experience with networked surveillance systems, including IP cameras, switches, and servers.
• Knowledge of relevant standards and best practices in electronic security systems.
• Ability to interpret technical drawings, specifications, and system configurations.
• Competence in using diagnostic and testing equipment for CCTV hardware and network performance.
• Capacity to produce accurate documentation, reports, and compliance certificates.
• Understanding of security protocols, confidentiality, and safety procedures in sensitive environments.
