Objectives

The primary objective of this tender is to establish a 12-month contract for the maintenance of gardens and grounds at St Marys Marianhill Hospital, ensuring the hospital environment remains well-maintained, clean, and safe for staff, patients, and visitors.

Scope

The scope of work includes:

• Garden maintenance within defined property areas
• Mowing of grassed areas and nature strips
• Removal of rubbish and debris from all areas
• Sweeping and blowing pathways, gutters, and driveways
• Trimming and pruning of trees and shrubs
• Removal and replacement of fallen or dead trees/shrubs/plants
• Weed removal and control across the property
• Maintenance of flower beds, borders, and shrub beds
• Tree maintenance, including removal of dead branches and leaf clearance
• Hedge trimming at uniform height
• Cleaning of concrete, tarred, paved areas, gullies, drains, and gutters
• Daily collection of general litter
• Grass cutting twice a month during the growing season
• Provision of tools, equipment, and safety gear by the service provider
• Regular site inspections and supervision

Technical Requirements

The technical requirements specify:

• Hours of attendance: Monday to Friday, 07:00 to 16:00
• Number of personnel: 7 grounds staff including a site supervisor
• Provision of all necessary tools, equipment, and safety gear
• Use of approved materials and chemicals (e.g., weed poison, petrol)
• Adherence to safety standards, including PPE, signage, and safety training
• Site supervision and regular performance monitoring
• Compliance with occupational health and safety regulations
• Proper disposal of garden refuse and waste management

Skills Requirements

The successful bidder must demonstrate:

• Proven experience in garden and grounds maintenance, with at least 3 years' relevant experience
• Capability to provide a detailed company profile and references from previous clients
• Financial capacity evidenced by a good standing letter from the bank indicating sufficient turnover
• Local presence within the district, supported by proof of address
• Qualified personnel trained in horticultural practices, safety procedures, and equipment operation
• Ability to supply and maintain all tools, machinery, and safety equipment
• Capacity to monitor and report on performance through regular site inspections and meetings
• Compliance with all legal and safety standards, including registration with relevant authorities and insurance
