Objectives

The primary objective of this tender is to establish a 3-year maintenance and repair contract for refrigeration systems at Eshowe Mortuary. The contract aims to ensure the reliable operation, regular maintenance, and timely repairs of refrigeration units, including cold rooms and freezers, to maintain optimal conditions and prevent system failures.

Scope

The scope encompasses:

• Implementation of preventative maintenance for refrigeration systems (cold rooms and freezers) at Eshowe Mortuary.
• Response to unplanned plant breakdowns and corrective repairs.
• Provision of maintenance services over a period of 36 months, with possible extension to 48 months.
• Inclusion of site inspections, condition assessments, minor and major servicing, and general maintenance as per scheduled frequencies.
• Provision of qualified technical personnel, tools, and equipment for maintenance activities.
• Adherence to safety, health, and regulatory standards applicable to the site and equipment.

Technical Requirements

The technical specifications include:

• Maintenance of refrigeration systems including cold rooms and freezer rooms, with scheduled inspections every 3 months.
• Use of new, compliant, and certified equipment and parts, with OEM warranties and guarantees.
• Provision of qualified, registered refrigeration technicians with relevant certifications (e.g., SAGCC Cat B, SAQCC registration).
• Implementation of maintenance in accordance with manufacturer specifications, relevant codes (e.g., SANS, Occupational Health & Safety Act), and standards.
• Preparation of detailed maintenance schedules, system status reports, and record-keeping of all activities.
• Availability of spare parts, tools, and equipment, with prior approval for non-stock items.
• Response to breakdowns within specified timeframes, with detailed reporting and quotations for repairs if parts are unavailable on-site.
• Compliance with safety policies, risk assessments, and site access regulations.

Skills Requirements

The tenderer must demonstrate:

• Competence of technical staff, including registered Plant Maintenance Refrigeration Technicians with valid certifications (e.g., SAGCC Cat B, SAQCC).
• Proven experience in refrigeration system maintenance, evidenced by previous orders or awards within the last six years.
• Capability to perform scheduled preventative maintenance, emergency repairs, and system assessments.
• Knowledge of relevant safety standards, risk management, and compliance with occupational health regulations.
• Ability to produce detailed reports, maintenance records, and system status documentation.
• Availability of qualified personnel with necessary tools, calibration certificates, and safety training (e.g., working at heights).
• Capacity to respond promptly to breakdowns and emergencies, with appropriate communication and reporting mechanisms.
