Objectives

The primary objective of this tender is to establish a 36-month contract for the maintenance of gardens and grounds at Park Rynie Mortuary. The contract aims to ensure the grounds are well-maintained, including grass cutting, weed control, trimming of trees and shrubs, and general grounds upkeep, with the employment of a permanent staff member on site from Monday to Friday.

Scope

The scope covers comprehensive grounds maintenance services at Park Rynie Mortuary for a period of three years. Specific tasks include:

• Regular mowing of lawns and grass patches twice a month, keeping them low and edges trimmed.
• Maintenance of flower beds and shrubs, including weed removal, litter clearance, and monthly turning of beds.
• Tree maintenance, including removal of dead branches, ensuring branches do not pose danger, and keeping areas around trees free of leaves.
• Hedge trimming to maintain uniform height.
• Cleaning and weed control of concrete, tarred, paved areas, roads, and parking areas, including spraying weed killer and removing oil spillage.
• Cleaning of gullies, drains, and gutters regularly, including gutter and downpipe cleaning and external building cleaning via steam pressure.
• Removal of garden refuse and leaves, ensuring no accumulation on site.
• Provision of a full-time gardener to oversee grounds maintenance during working days.

Technical Requirements

The technical requirements specify that:

• All grass and lawns must be kept weed-free, trimmed, and maintained at low height.
• Flower beds and shrubs must be kept tidy, weed-free, and turned monthly.
• Tree branches over two meters from ground must be removed if dead or dangerous, with surrounding areas kept leaf-free.
• Hedges and paved areas must be kept clean, weed-free, and maintained regularly.
• All external cleaning, weed control, and refuse removal must adhere to ISO standards and health and safety regulations.
• Garden refuse and leaves must be removed promptly from the site.
• Service providers must supply staff with appropriate protective clothing, including uniforms, safety boots, gloves, masks, goggles, and signage to ensure safety compliance.

Skills Requirements

The skills and qualifications required include:

• Experience in grounds maintenance, including lawn mowing, tree trimming, shrub and hedge care, and general landscaping.
• Ability to operate gardening and cleaning equipment safely and effectively.
• Knowledge of health and safety standards related to grounds maintenance and chemical spraying.
• Provision of a dedicated, trained gardener employed full-time to manage daily grounds activities.
• Capability to adhere to specifications, safety protocols, and environmental standards.
• Ability to provide protective clothing and signage as per health and safety regulations.
