Objectives

The primary objective of this tender is to solicit quotations from qualified service providers to implement a Library Awareness Campaign for the Winnie Madikizela-Mandela Local Municipality. The campaign aims to raise awareness about library services and promote community engagement through various activities and events.

Scope

The scope includes the supply, delivery, and execution of community awareness activities related to the municipal library services. This encompasses the development of promotional materials, organization of outreach events, and ensuring community participation in Ward 01. The service provider must comply with all specified requirements and deliverables as outlined in the terms of reference.

Technical Requirements

• Download and adhere to the specifications and terms of reference available on the municipal website.
• Provide all mandatory documentation, including original municipal documents, tax pin printout, company registration, JV agreement (if applicable), certified IDs, and relevant MBD forms.
• Ensure all quotations are submitted on the original municipal documentation and within the stipulated deadline.
• Deliver community engagement activities such as awareness campaigns, promotional events, and distribution of informational materials.
• Supply items such as catering, water, transportation, chairs, tables, sound systems, and other logistical support for community events.
• Comply with local content thresholds (100%) where applicable, and include all costs in the quotation, inclusive of VAT.

Skills Requirements

• Proven experience in community awareness campaigns, preferably within municipal or public sector projects.
• Ability to develop and implement outreach strategies that effectively engage diverse community groups.
• Strong organizational and logistical skills to coordinate events, manage supplies, and ensure timely delivery.
• Good communication and interpersonal skills to liaise with municipal officials, community members, and vendors.
• Knowledge of municipal procurement procedures and compliance with legal and regulatory requirements.
• Capacity to produce and manage promotional materials and logistical arrangements for community events.
