Objectives

The primary objective of this tender is to secure services for the annual servicing of the kitchen cold room and freezer room at Ekuhlengeni Psychiatric Hospital. The aim is to ensure that these refrigeration units operate efficiently, are properly maintained, and meet safety and quality standards as specified by the Department of Health.

Scope

The scope of work includes:

• Complete servicing of the kitchen cold room and freezer room, including checking, cleaning, and reporting on condensers, evaporators, fans, and other internal and external components.
• Checking and adjusting high and low-pressure levels, ensuring switches operate within specified ranges.
• Cleaning drain pipes, ensuring proper drainage, and aligning drip trays.
• Inspecting and cleaning heaters, setting defrost parameters, and checking gas levels and leaks.
• Calibrating temperature gauges and control panels.
• Ensuring all warning lights operate correctly and all safety features are functional.
• Providing comprehensive reports and completion certificates post-servicing.
• Carrying out the work on-site with minimal disruption to hospital operations, maintaining safety and cleanliness throughout.

Technical Requirements

The technical requirements include:

• Adherence to South African Bureau of Standards (SABS) and relevant health and safety standards.
• Provision of valid CIBD (Construction Industry Development Board) certificates for Mechanical and Electrical works.
• Submission of previous purchase orders and completion certificates related to servicing of cold rooms and freezer rooms.
• Use of approved and specified equipment and materials.
• Completion of servicing within the stipulated contract period of four weeks.
• Provision of detailed reports, certificates of service, and compliance with all technical specifications outlined in the tender documents.

Skills Requirements

The successful bidder must possess:

• Qualified and experienced technicians with expertise in refrigeration systems, including cold rooms and freezers.
• Relevant certifications such as CIBD-EB/ME for mechanical and electrical works.
• Knowledge of South African standards and safety regulations related to refrigeration and electrical systems.
• Ability to conduct thorough inspections, diagnostics, and repairs on refrigeration units.
• Capability to prepare detailed technical reports and certificates of completion.
• Experience in working within hospital environments, ensuring minimal disruption to hospital operations.
