Objectives

The primary objective of this tender is to appoint an insurance company or broker to provide comprehensive insurance coverage for the movable heritage assets at Groote Schuur House/Museum for a period of one year (12 months). The insurance should cover all risks such as fire, accidental loss, and damage to the heritage collection, which includes Rhodes Heritage Collection and barcoded assets of the Department of Public Works & Infrastructure.

Scope

The scope encompasses the provision of comprehensive all-risks insurance for the Heritage Collection located at Groote Schuur House/Museum. The collection comprises various items including artworks, tapestries, rugs, metals, weapons, antique furniture, ceramics, glassware, and books. The insurance coverage applies to all items within the collection, which are kept at the specified premises, and includes the Rhodes Heritage Collection and DPWI barcoded assets.

The contract involves:

• Assessment and valuation of the heritage assets.
• Provision of insurance coverage for the specified period.
• Handling claims related to loss or damage.
• Reporting and documentation of insured items.

Technical Requirements

• The insurance must be on an all-risks basis, covering fire, theft, accidental damage, and other perils.
• The policy must include coverage for the full heritage collection as listed, including artworks, antiques, furniture, ceramics, glassware, and books.
• The insurer must provide proof of registration and authorization to operate as an insurer or broker in South Africa.
• The insurance policy should specify the coverage period of one year, with the possibility of renewal.
• The insurer must be able to handle claims efficiently and provide necessary documentation and reports.
• The insurance must comply with all relevant South African laws and regulations.

Skills and Experience Requirements

• Proven experience in providing insurance services for heritage, cultural, or museum assets.
• Demonstrated knowledge of insuring valuable artworks, antiques, and heritage collections.
• Registered and authorized to operate as an insurer or broker within South Africa, with proof of registration (e.g., FSCA registration).
• Capability to assess and value heritage assets accurately.
• Strong claims management and customer service skills.
• Ability to provide comprehensive reports and documentation related to insurance coverage and claims.
• Compliance with all administrative and legal requirements specified in the tender documentation.
