Objectives

The primary objective of this tender is to procure Cash Registers for the GJGM Regional Hospital under the Department of Health in KwaZulu-Natal. Technical Requirements

• Equipment Compliance: The cash registers must meet the detailed specifications outlined in the tender documents, including features such as secure locking mechanisms, audit trail capabilities, date and time stamping, and compliance with Y2K and leap year requirements.
• Security Features: Machines must have secure locks for totals, audit strips, and receipt rolls, preventing unauthorized access or operation without proper keys.
• Operational Capabilities:
  • Automatic printing of receipts with specified details (hospital name, machine ID, clerk ID, date/time, patient number, amount, tender type).
  • Ability to register and display patient/out-patient numbers up to 9 digits, with compulsory entry before proceeding.
  • Functionality for manual amount entry, overprinting prevention, and validation of patient records.
  • Real-time clock with a minimum of 7-year accuracy, including leap year consideration.
  • Battery backup to retain totals and program data during power failures for at least 30 days.
  • Capacity to log operations on an audit strip capable of holding at least 2,000 transactions.
• Communication & Upgradability: Machines should support RS232 communication for future upgrades.
• Compatibility & Standards: Equipment must be SABS or SANS approved, Y2K compliant, and capable of integration with existing hospital systems if required.
• Additional Features: The cash drawer must only open upon valid transaction completion, and the system should recognize low roll indicators and warn accordingly.
• Training & Support: The supplier must provide installation, operator training, and ongoing maintenance support, including backup units for repairs.
• Documentation & Certification: Submission of compliance certificates, proof of standards adherence, and relevant certificates such as B-BBEE, tax clearance, and CSD registration.
