Objectives

The primary objective of this tender is to procure catering services for the Mayoral Imbizo event scheduled for 2 June 2026 at Shayamoya Sportsfield, accommodating approximately 500 guests. The aim is to secure reputable service providers capable of delivering quality catering that meets the specified menu and service standards, supporting the municipality's goal of hosting a successful event aligned with its vision of a people-centred city of economic possibilities by 2047.

Scope

The scope of work includes providing comprehensive catering services for the Mayoral Imbizo, including:

• Preparation and delivery of menus for arrival tea, lunch, and other specified meals.
• Provision of food and beverages as detailed in the menu schedules, including items such as sandwiches, muffins, tea, coffee, juices, and other refreshments.
• Ensuring food is individually wrapped or packaged as specified.
• Provision of additional items such as fruit, bottled water, fizzy drinks, and other refreshments.
• Adherence to health and safety standards, including submission of a Certificate from Environmental Health.
• Pricing must be inclusive of all costs, taxes, and delivery charges to the specified venue.

Technical Requirements

The technical requirements include:

• Submission of a detailed quotation per menu item, including unit and total costs.
• Provision of a Certificate from Environmental Health.
• Compliance with municipal regulations regarding rates and municipal services, with proof of no outstanding municipal debts for the company and directors.
• Adherence to the specified menu specifications, quantities, and packaging standards.
• Submission of all mandatory returnable documents, including tax compliance certificates, CSD reports, and municipal rates clearance.
• Participation in the evaluation process based on price and municipality-specific goals, with supporting documentation for ownership and RDP goals.

Skills Requirements

The successful bidder must demonstrate:

• Experience in providing large-scale catering services for events of similar size and nature.
• Ability to meet health and safety standards, evidenced by relevant health certificates.
• Capacity to deliver quality food within stipulated timelines and budget constraints.
• Compliance with municipal and environmental health regulations.
• Proficiency in preparing and packaging food items as per specifications.
• Effective logistical and operational skills to manage catering for 500 guests seamlessly.
