Objectives

The primary objective of this tender is to upgrade the DSP audio system within the Auditorium at SANSA Hermanus. The upgrade aims to address current technical constraints such as inadequate sound reinforcement, feedback issues during live presentations, and difficulties in remote communication. The project seeks to procure a compatible audio conferencing processor with advanced features to enhance audio clarity, stability, and integration with existing systems.

Scope

The scope of work includes:

• Upgrading the existing audio-visual infrastructure in the Space Weather Auditorium.
• Procurement and installation of the Shure P300-IMX IntelliMix Audio Conferencing Processor (or equivalent with Acoustic Echo Cancellation).
• Ensuring compatibility with current equipment such as Shure SLXD4D and Catchbox Plus networked receivers.
• Implementing features like bidirectional audio cancellation, automatic gain control, digital audio integration, and microphone mix to PC for video conferencing platforms.
• Configuring VLAN segmentation and QoS for prioritizing audio traffic.
• Expanding the system with additional accessories like batteries and docking stations.
• Controlling and optimizing existing display and control layouts.

Technical Requirements

The technical specifications for the upgrade include:

• Procurement of a conferencing processor with Acoustic Echo Cancellation and compatibility with existing equipment.
• Features such as automatic gain control, bidirectional audio for video conferencing and live streaming, and digital audio integration.
• Microphone LEDs and software mute status synchronization.
• VLAN segmentation and QoS to prioritize audio traffic.
• Integration with a 770 touch panel via standard API commands.
• Expansion capabilities with batteries and docking stations.
• Control and optimization of screen layouts and AV control systems.

Skills Requirements

The successful tenderer must demonstrate:

• Proven experience in AV system upgrades, specifically in audio conferencing solutions.
• Technical expertise in installing, configuring, and programming Crestron control systems and AV equipment.
• Capability to provide comprehensive project methodology, including timelines and equipment design.
• Ability to supply contactable references for similar projects.
• Knowledge of network configurations, VLAN, and QoS for audio traffic prioritization.
• Experience in providing warranties and post-installation support.
• Compliance with BBBEE requirements and ability to provide proof of ownership and empowerment credentials.
