Objectives

The primary objective of this tender is to procure a Major Service to UPS systems at Eshowe Hospital, ensuring the equipment is maintained in safe, functional, and reliable condition. The service aims to keep the UPS systems operational, safe, and compliant with relevant standards, thereby supporting hospital operations and patient safety.

Scope

The scope of work includes:

• Providing a one-time major service to the UPS systems at Eshowe Hospital, including systems in various departments such as Theatre, Labour Ward, KDC Clinic, Server Room, and Casualty.
• Inspection and testing of environmental conditions, cabinet, display indications, output voltage/current, battery charger voltage, load percentage, corrosion, cooling fans, overload indications, loose connections, and battery conditions.
• Carrying out annual major servicing to ensure UPS systems are maintained and kept in safe working order.
• Delivering the service within 7 days of order placement.
• Ensuring compliance with technical specifications, standards (SANS), and CIDB grading (1ME and above).
• Providing necessary documentation such as service certificates and technical reports.

Technical Requirements

The technical requirements include:

• Adherence to Occupational Health and Safety Act 85/1993 and related regulations.
• Use of new, unused, and latest type or pattern of equipment and components, with SANS approval where applicable.
• Guarantee of minor repairs against defective parts and workmanship for 12 months post-completion.
• Inspection and testing of UPS environmental conditions, cabinet, display, output, batteries, cooling fans, and connections.
• Provision of a detailed service schedule, signed daily during servicing.
• Compliance with South African Bureau of Standards (SABS) and other relevant standards.
• Delivery of a certificate of compliance upon service completion as per SANS 1850:2014.

Skills Requirements

The successful bidder must demonstrate:

• Competence and experience in servicing UPS systems, with proven track record of similar projects.
• Qualified technical staff with relevant practice certificates, qualifications, and registration (proof to be submitted).
• Medical certificates for all staff involved in the work.
• Ability to carry out site inspections, technical assessments, and detailed servicing within the specified timeframe.
• Knowledge of applicable standards, safety regulations, and best practices in electrical and mechanical maintenance of UPS systems.
• Capacity to provide technical documentation, service reports, and compliance certificates.
