Objectives

The primary objective of this tender is to select suitable and qualified service providers to establish a Panel of Catering Services (Mass) capable of catering for 850 people during the Municipality Address (2026-2027 IDP/Budget Speech) scheduled for 26 June 2026 at Makhado Showground. The service providers will be responsible for providing comprehensive catering services aligned with the specifications outlined in the tender, ensuring timely and quality service for the municipal event.

Scope

The scope of the tender encompasses the provision of catering services for the State of the Municipality Address, including menu preparation, food delivery, and presentation for approximately 850 attendees. The services include preparing and serving specified menu items such as pap, savory rice, beef stew, grilled or fried chicken, gravy, and various salads. The municipality reserves the right to appoint more than one service provider to fulfill the requirements.

Technical Requirements

• Provision of a complete menu including staple foods and salads as specified:
• Pap (19 x 20L)
• Savory rice (8 x 20L)
• Beef stew (9 x 20L)
• Grilled or fried chicken (19 x 5kg drumsticks)
• Gravy (6 x 20L)
• Salads: 3 Bean Salad, Beetroot with pineapple and chutney, Diced butternut with vanilla, creamed spinach
• Food must be prepared, transported, and served in accordance with health and safety standards.
• Provision of all necessary equipment, utensils, and serving materials.
• Adherence to the specified menu quantities and presentation standards.
• Timely delivery and setup at the Makhado Showground on the event date.
• Compliance with all municipal and health regulations applicable to food service.

Skills Requirements

• Proven experience in mass catering for large events or similar scale.
• Ability to prepare and serve a diverse menu efficiently and hygienically.
• Qualified catering staff with appropriate food handling and safety certifications.
• Capacity to manage logistics, including transportation, setup, and cleanup.
• Knowledge of health and safety standards related to food preparation and service.
• Effective coordination and communication skills to ensure smooth service delivery.
