Objectives

The primary objective of this tender is for the successful bidder to provide maintenance, servicing, and repairs of standby generators in Area 3 over a period of 36 months. The contract aims to ensure reliable operation of generators through scheduled maintenance, emergency repairs, and associated services, including 24-hour response and annual servicing.

Scope

The scope includes:

• Provision of maintenance, servicing, and repairs for various generator types and sizes across multiple sites in the Eastern Cape.
• Regular preventive maintenance, minor and major servicing, and emergency repairs.
• Reporting, record-keeping, and documentation of all maintenance activities.
• Provision of spare parts, consumables, and materials of specified standards.
• Adherence to safety, health, and environmental regulations.
• Management of site access, safety plans, and coordination with the Department of Public Works & Infrastructure.

Technical Requirements

The technical requirements include:

• Servicing of generators as per manufacturer specifications and scheduled intervals (every 100-250 hours, 500 hours, 1000 hours, etc.).
• Use of approved, quality materials and parts, with compliance to South African standards (SANS).
• Provision of detailed maintenance reports, job cards, and documentation for each service.
• Implementation of safety and health protocols, including security clearance and safety plans.
• Provision of skilled personnel, including electricians, diesel mechanics, and other technical staff, with relevant qualifications and experience.
• Adherence to project timelines, including practical completion and defect liability periods.
• Compliance with insurance, security, and legal requirements as specified in the contract conditions.

Skills Requirements

The skills and qualifications required from the bidder and their personnel include:

• Qualified electricians with trade tests and registration as Electrical Installers (IE) with the Department of Labour.
• Skilled diesel mechanics with trade certificates and relevant experience.
• Personnel with knowledge of generator systems, electrical and mechanical maintenance, and safety protocols.
• Ability to prepare and maintain detailed reports, job cards, and documentation.
• Competence in managing site safety, security, and environmental regulations.
• Experience in handling emergency repairs and scheduled maintenance for various generator sizes and types.
• Capacity to coordinate with the Department’s representatives and adhere to project timelines and quality standards.
