Objectives

The primary objective of this tender is to procure printing services for various health-related materials, including guidelines, registers, posters, folders, and other educational and operational documents, to support health programs within the KwaZulu-Natal Province Department of Health. The aim is to ensure the availability of standardized, high-quality printed materials that facilitate health education, data management, and clinical operations across multiple health facilities.

Scope

The scope covers the supply, printing, finishing, packing, and delivery of a wide range of printed health materials, including but not limited to:

• Guidelines and clinical protocols (e.g., ART guidelines, differentiated care SOPs)
• Registers and record books (e.g., HPV registers, adherence club registers, vaccination cards)
• Posters and visual aids (e.g., viral load management, HPV campaign posters)
• Patient folders for different age groups and genders
• Educational materials such as learner passports, dosing charts, and health promotion posters
• Activity trackers and data collection tools for outreach teams

The materials are intended for use across various health facilities, outreach teams, and clinics within the province, with specific specifications, quality standards, and delivery timelines outlined in the tender documents.

Technical Requirements

The technical requirements include:

• Materials must conform to specified sizes, colors, and quality standards (e.g., gloss paper, laminated covers, perforated pages)
• Prints must meet the detailed specifications attached to each item (e.g., exact dimensions, color fidelity, binding types)
• All printed materials should be produced in accordance with the specified standards (e.g., SABS, Departmental standards)
• Samples must be provided for certain items prior to full production
• All materials should be packed securely and delivered to designated addresses within the agreed timelines
• Materials must be compliant with the relevant health and safety standards and regulations
• Delivery must be timely, with the ability to produce large quantities as per the order requirements

Skills and Capacity Requirements

The bidder must demonstrate:

• Proven experience in printing and production of health-related printed materials
• Capability to produce high-quality prints that meet detailed specifications and standards
• Capacity to handle large-volume printing projects within tight deadlines
• Availability of appropriate printing equipment (e.g., digital, offset, lamination, binding)
• Ability to provide samples and prototypes for approval before mass production
• Efficient logistics and delivery systems to ensure timely distribution across multiple sites
• Compliance with all relevant health, safety, and quality standards
• Capacity to manage multiple concurrent printing projects with quality assurance processes in place

Additionally, bidders must provide proof of previous similar projects, capacity to deliver within the specified timeframes, and adherence to the technical specifications outlined in the tender documentation.
