Objectives

The primary objective of this tender is to procure catering services at Tshivase-ledet Boardroom, Thohoyandou, next to Vhembe District Municipality Offices, for a total of 120 people across six meetings. The service provider is expected to supply food, beverages, crockery, and cutlery as specified, ensuring quality and compliance with the outlined scope and conditions.

Scope

The scope of work includes:

• Provision of catering services for six meetings, each accommodating 20 people, with specific dates to be communicated.
• Food items: rice, pap, beef stew, grilled chicken, one salad, and one vegetable.
• Provision of assorted cold drinks, including juice.
• Supply of crockery and cutlery necessary for the service.

Technical Requirements

The service provider must:

• Submit a valid B-BBEE Verification Certificate from SANAS-accredited agencies or an EME/QSE sworn affidavit attested by a Commissioner of Oaths.
• Inform SAFCOL prior to RFQ closing date if brand or product changes occur.
• Ensure compliance with all conditions specified in the RFQ, including submission of necessary documentation such as registration with the Central Supplier Database (CSD), ID copies of company directors, and proof of business address.
• Adhere to the SAFCOL Supplier Code of Conduct.
• Not deliver goods or services before official purchase orders or promissory notes are received.

Skills Requirements

The bidder must demonstrate:

• Experience in providing catering services for corporate or similar events.
• Ability to supply quality food and beverages as per specifications.
• Capacity to manage the logistics of catering for multiple meetings simultaneously.
• Compliance with legal and regulatory requirements, including tax compliance verified via CSD or SARS e-Filing.
• Understanding of procurement policies, including B-BBEE and preferential procurement regulations.
