Objectives

The primary objective of this tender is to procure a qualified service provider to supply and deliver disaster relief materials to Cape Agulhas Municipality for a period of 12 months. The aim is to ensure timely provision of essential relief items in response to emergencies, supporting community resilience and disaster management efforts.

Scope

The scope of the tender includes:

• Supply and delivery of specified disaster relief items, including food, beverages, household essentials, and emergency supplies, as detailed in the specifications.
• Delivery address at the Traffic Department, Cape Agulhas Municipality, Bredasdorp.
• Provision of replacements within 5 working days if items are damaged or not delivered as per order.
• Completion of all deliveries within the agreed period after official orders.
• Adherence to all technical and contractual requirements outlined in the tender documentation.

Technical Requirements

The technical requirements include:

• Provision of specified disaster relief items, such as beans, onions, butternut, potatoes, cabbage, cooking oil, juice, tea bags, coffee, eggs, yeast, canned fish, spices, soup, washing powder, candles, matches, and salt, with quantities as specified.
• Items must meet the quality standards and specifications detailed in the scope of works.
• Items must be delivered in good condition, properly packed, and within the stipulated delivery period.
• Replacements for damaged or non-conforming items must be provided within 5 working days at the supplier’s cost.
• All deliveries must be accompanied by appropriate documentation and proof of municipal account payments.
• Compliance with all applicable health, safety, and municipal regulations.

Skills and Competency Requirements

The successful bidder must demonstrate:

• Proven experience in supplying and delivering disaster relief or similar emergency supplies.
• Capacity to manage logistics and ensure timely delivery of goods.
• Ability to supply quality products that meet specified standards.
• Compliance with all legal, tax, and municipal requirements, including tax clearance and BBBEE certification.
• Capacity to provide replacements and handle urgent requests efficiently.
• Experience in working with municipal or government entities, with references to previous relevant projects.
• Qualified personnel with relevant skills in supply chain management, logistics, and customer service.
