Objectives

The primary objective of this tender is to procure services for the maintenance and servicing of three (3) UPS units and batteries at the Durban ICC over a period of 12 months. The aim is to ensure the UPS systems operate reliably, maintaining high standards of infrastructure to support the ICC's operations and international event standards.

Scope

The scope includes:

• Annual comprehensive servicing of all UPS units, including testing, cleaning, and calibration of electrical and electronic components.
• Quarterly inspections of batteries, including voltage checks, cleaning, connection verification, and capacity testing via discharge tests.
• Maintenance and servicing of specific UPS systems at four substations, with detailed specifications for each unit.
• Provision of all necessary data, test results, and documentation for each inspection and service performed.
• Adherence to contractual and safety requirements, including entering into a binding agreement with Durban ICC.

Technical Requirements

The technical requirements specify:

• Minimum experience and references working with UPS units, with at least two positive client references.
• Proof of public liability insurance with a minimum value of R2 million.
• Employing competent technicians with no less than 5 years’ experience in UPS servicing, supported by detailed CVs.
• Inspection, cleaning, calibration, and testing of UPS equipment, including filters, fans, semiconductor power devices, transformers, and circuitry.
• Quarterly battery inspections, including voltage recording, cleaning, connection checks, and capacity discharge testing.
• Specific maintenance procedures for four substations with detailed UPS specifications.

Skills Requirements

The tender mandates that service providers must demonstrate:

• Experienced technicians with at least 5 years’ relevant experience in UPS maintenance and servicing.
• Technical proficiency in electrical and electronic calibration, testing, and troubleshooting of UPS systems.
• Ability to record and document all inspection and maintenance activities accurately.
• Capability to provide comprehensive reports and test results for each service performed.
• Compliance with safety, contractual, and regulatory standards, including POPI Act and occupational health and safety regulations.
