Objectives

The primary objective of this tender is to obtain a written quotation for catering services to support the Elderly Awareness event in Vlottenburg. The aim is to secure a service provider capable of delivering specified catering items that meet the municipality's standards and requirements.

Scope

The scope of the tender includes providing catering services for the Elderly Awareness event, specifically including:

• Arrival Coffee and Tea
• Sandwiches with Cheese and Tomato filling
• Chicken Curry & Roti (330 ml cup)
• Juice

Delivery is to be made at a venue to be confirmed (TBC). The quantity and delivery details are subject to change, and communication regarding any changes or cancellations must be made 24 hours prior to service.

Technical Requirements

The technical requirements include:

• Submission of a quotation on the business letterhead with completed MBD supporting documentation.
• Provision of a valid B-BBEE Certificate issued by an accredited verification agency or a sworn affidavit (original, to be delivered by hand).
• Submission of municipal statements of account for all directors and the company (not older than 90 days).
• Compliance with municipal registration via the Centralised Supplier Database (CSD).
• Completion of all relevant procurement forms, including preference points claim forms (MBD 4, 6.1, 8, 9).
• Adherence to the conditions regarding late submissions, faxed quotations, and non-binding to the lowest quotation.
• Compliance with all specified conditions of contract and procurement policies.

Skills Requirements

The skills and capabilities required from the service provider include:

• Proven experience in catering services, particularly for events involving elderly attendees.
• Ability to deliver quality food items as specified, within the stipulated timeframe.
• Capacity to handle order adjustments and cancellations with 24-hour notice.
• Knowledge of municipal procurement procedures and compliance with legal and administrative requirements.
• Ability to provide valid documentation for B-BBEE status, tax compliance, and municipal registration.
• Demonstrated capability to manage subcontracting, if applicable, including adherence to B-BBEE requirements for designated groups.
