Objectives

The primary objective of this tender is to procure maintenance services for data loggers, including software subscriptions, calibration, supply of batteries, and renewal of cloud services, to ensure the proper functioning and accuracy of data logging equipment used by the City of uMhlathuze. The service aims to support ongoing data collection, monitoring, and compliance with relevant standards until 01 April 2026.

Scope

The scope of work includes:

• Calibration of 20 data loggers across various locations and parameters (ambient temperature, humidity, and specific temperature points).
• Supply of 20 high-energy lithium AA batteries with a lifespan of at least one year.
• Renewal of cloud subscription services (email and SMS alerts) for the 20 data loggers.
• Provision of calibration certificates and interpretation of calibration results for laboratory staff.

The calibration covers equipment in microbiology and chemistry sections, with specific calibration points detailed in the scope.

Technical Requirements

The technical requirements include:

• Complete calibration of specified data loggers at designated temperature and humidity points.
• Supply of batteries that are compatible with the data loggers and have a minimum one-year life.
• Provision of valid calibration certificates, with interpretations provided to laboratory staff.
• Renewal of cloud subscription services for data logging and alerting.
• All calibration procedures must be documented and included with the quotation.
• Service providers must adhere to safety standards, including issuing PPE to employees where necessary.

Skills Requirements

The bidder must demonstrate:

• Qualified service engineers with valid calibration training certificates.
• Experience in calibrating data loggers and handling laboratory equipment.
• Ability to interpret calibration certificates and communicate results effectively to laboratory staff.
• Compliance with safety and health regulations, including PPE issuance and hazard mitigation.
• Registration with the Central Suppliers Database (CSD) and Municipal Council Database.
