REQUEST FOR FORMAL WRITTEN PRICE QUOTATIONS: RFQ Strategic Session Housing Development Catering
The quotation must be submitted on the letterhead of your business with completed MBD supporting documentation and emailed to [email protected] and [email protected] by no later than 27 August 2026 at 15H00.
Disclaimer: Copy of the B-BBEE Certificate issued by a Verification Agency accredited by SANAS or the ORIGINAL Sworn Affidavit must be submitted by hand within 48 hours of submission of quote (the original sworn affidavit is valid for the year therefore it must be delivered by hand and will be kept on file for the year.) Please ensure that the municipal statement of account of the all the directors and of the company are also submitted (Not older than 90 days)
The primary objective is to procure a qualified service provider to deliver comprehensive catering services for a municipal strategic session focused on housing development. The municipality seeks a reliable, compliant, and cost-effective solution that meets specific dietary, logistical, and administrative standards while adhering to public procurement regulations.
The contract covers a single-day event scheduled for 1 September 2026 at the Paradyskloof Clubhouse (Huis-in-die-Bos), operating between 08:30 and 16:00. The provider must cater for 15 to 20 delegates, with lunch served at 13:00. Food display table setup must occur between 12:50 and 13:00. The quotation must encompass:
MBD Forms: Standard South African municipal bidding templates used to declare conflicts of interest (MBD 4), claim preference points (MBD 6.1), confirm past supply chain compliance (MBD 8), and certify independent bidding (MBD 9).
80/20 Preference System: An evaluation model where 80 points are allocated to price, 10 to Broad-Based Black Economic Empowerment (B-BBEE) status, and 10 to supplier locality within the municipal area.
Locality Preference: Additional scoring awarded exclusively to businesses operating within the municipal boundaries, requiring proof such as a current municipal account or lease agreement.
Sworn Affidavit Requirement: Bidders may submit a sworn affidavit instead of a formal B-BBEE certificate, but it must be the original physical document delivered by hand and remains valid for one calendar year.
Indemnity & OHS Clause: The successful contractor must sign an indemnity form accepting full responsibility for any damages or injuries during service execution and maintain insurance compliant with the Occupational Health and Safety Act.
