Objectives

The primary objective of this tender is to procure services for the maintenance and servicing of the Pharmacy Cold Room at Port Shepstone Hospital. The aim is to ensure the cold room operates efficiently, reliably, and in compliance with health and safety standards, thereby supporting the hospital’s pharmaceutical storage requirements.

Scope

The scope of work includes:

• Supply, delivery, installation, and commissioning of the pharmacy cold room and associated containers.
• Routine servicing and maintenance of the cold room equipment, including walk-in units, containers, split units, and chemical coils.
• Provision of full reports, service certificates, and schedules for each machine/unit.
• Adherence to technical specifications, safety regulations, and standard building and electrical codes.
• Site inspections, site visits, and compliance with health and safety regulations during the execution of work.

Technical Requirements

The technical requirements include:

• Service of pharmacy cold rooms, walk-in cold rooms, external containers, split units, and chemical coils.
• Top-up of gases in all units and supply of full operational reports and service certificates.
• Compliance with the specifications outlined in the tender documents, including standards for electrical and mechanical installations.
• Adherence to health and safety regulations, including hazard notices, PPE, machine guarding, and site safety protocols.
• Provision of all necessary documentation such as service schedules, certificates, and reports for each unit.

Skills Requirements

The skills and qualifications required for bidders include:

• Qualified refrigeration technicians with certification as Refrigerants Technicians or Gas Practitioners (SAQCC Gas).
• Experience in servicing and maintaining pharmaceutical refrigeration equipment and cold rooms.
• Knowledge of electrical and mechanical standards as per Department of Health and national regulations.
• Ability to prepare detailed reports, service certificates, and maintenance schedules.
• Compliance with occupational health and safety standards, including the ability to implement and maintain safety files and procedures.
• Capacity to carry out site inspections, safety audits, and emergency procedures as per health and safety specifications.
