Objectives

The primary objective of this tender is to appoint a service provider to supply, install, sign off, and dismantle a temporary concert stage tunnel canopy at Kirstenbosch National Botanical Garden (NBG) in Cape Town. The temporary structure is needed to replace the existing canopy that collapsed during a storm, ensuring safety, aesthetics, and compliance with health and safety regulations for the next three concert seasons (November to March each year).

Scope

The scope of work includes:

• Provision of a temporary concert stage tunnel canopy with an expected aesthetic look similar to existing designs.
• Installation of the tunnel canopy, speaker towers, screen towers, crowd safety barriers, front of house platform, desk, and seating stand.
• Inspection and certification by a structural engineer for local municipality approval.
• Weekly inspections, sign-off, and dismantling at the end of each concert season (April each year).
• Structural modifications, if necessary, to fit the current stage footprint.
• Provision of engineering certificates, safety barriers, and support for the duration of each concert season.
• Ensure all work complies with health, safety, and design standards, including weather considerations specific to Cape Town.

Technical Requirements

• The temporary tunnel canopy must measure approximately 12m x 10m x 6m high, with "cowsheds" (4m x 2m) on either side.
• Structural calculations must be verified by a third-party engineer.
• The structure must include certification for local municipality permits and adhere to safety and design codes.
• All components, including speaker towers, screen towers, barriers, and seating stands, must be inspected and signed off by qualified structural engineers.
• The installation must be completed by November each year and dismantled by April.
• All weather protection measures for side-stage applications must be included.
• Site measurements are the responsibility of the service provider to ensure proper fit and installation.

Skills and Experience Requirements

• Proven track record of at least five years in providing temporary structures for large events or concerts.
• Demonstrated experience in installing and dismantling similar concert stage structures, supported by at least three reference letters from different clients.
• Qualified personnel, including a structural engineer with over 5 years of experience and a project manager with relevant expertise.
• Structural engineer must have qualifications recognized by professional councils (e.g., ECSA).
• Capability to perform weekly inspections, obtain necessary certifications, and ensure ongoing safety compliance.
• Ability to coordinate with local authorities for permits and adhere to Cape Town’s weather and safety standards.
• Capacity to provide detailed design sketches, specifications, and static calculations verified by a third-party engineer.
