Objectives

The primary objective of this tender is to appoint a suitable service provider to supply and deliver stationery items to the Karoo Desert National Botanical Garden (KDNBG) for a period of three (3) years. The goal is to ensure a consistent and reliable supply of stationery to support the operational needs of SANBI at the specified location.

Scope

The scope of the tender includes:

• Provision of a wide range of stationery items as detailed in the specifications, including paper, books, filing and storage materials, writing instruments, office accessories, and printing supplies.
• Delivery of stationery to the Karoo Desert National Botanical Garden located at 108 Roux Road, Panorama, Worcester, Western Cape.
• Supply and delivery services over a contractual period of three years, with the possibility of CPI-based price adjustments in subsequent years.
• Adherence to SANBI’s procurement policies, technical specifications, and service level agreements.

Technical Requirements

The technical requirements include:

• Supply of specified stationery items as per the detailed list provided in the tender documentation, including quantities and specifications.
• Compliance with quality standards such as A4 80gsm bond paper, A3 paper, various notebooks, filing and presentation materials, office tools, and consumables.
• Proper packaging and labeling of items for delivery.
• Timely delivery of items as per the agreed schedule.
• Provision of accurate invoices and delivery notes signed by both the recipient and the deliverer.
• Confidentiality and adherence to SANBI’s procurement and contractual policies.

Skills Requirements

The successful bidder must demonstrate:

• Experience in supplying office stationery and related products to institutional clients.
• Ability to manage large and diverse inventory of stationery items.
• Efficient logistics and delivery capabilities to meet deadlines.
• Good understanding of procurement procedures and compliance with legal and regulatory requirements.
• Capacity to provide quality customer service and technical support as needed.
• Ability to prepare detailed pricing schedules and submit comprehensive proposals.
• Knowledge of B-BBEE compliance and preference point systems as per South African regulations.
