Objectives

The primary objective of this quotation is to procure and deliver essential audio-visual equipment to Vryheid District Hospital to support daily administrative operations and facilitate staff meetings.

Scope

The scope covers the supply, transportation, and handover of two units of smart LED projectors accompanied by compatible projection screens and stands. Goods must be delivered directly to the hospital premises in Vryheid, KwaZulu-Natal. The contract includes standard delivery, optional on-site assembly or commissioning, provision of operational manuals, and post-delivery warranty support as governed by the general conditions of contract.

Technical Requirements

• Projector: Smart LED model with integrated Wi-Fi and Bluetooth. Must support 1080P resolution with 8GB internal memory, 4K compatibility, 50% to 100% optical zoom, and a 16:9 aspect ratio. Capable of projecting up to a 200-inch display.
• Screen & Stand: Projection screen with a 16:9 aspect ratio, measuring 100 inches diagonally. Maximum physical dimensions: 221.4 cm width and 124.5 cm height, supplied with a dedicated mounting stand.
• Product Condition: All items must be brand new, unused, and represent the most recent manufacturing models. Products must retain a minimum validity/shelf life of six months upon delivery.
• Standards & Warranty: Equipment must comply with applicable South African National Standards (SANS/SABS). A warranty of twelve months from final acceptance at the hospital (or eighteen months from shipment, whichever occurs first) is mandatory.
• Compliance Documentation: Bidders must submit completed specification compliance declarations, operations/maintenance manuals, and proof of product conformity during the evaluation process.

Skills Requirements

No specialized engineering or technical certifications are mandated. Suppliers must possess standard commercial and logistical capabilities to manage procurement, coordinate timely delivery, and handle post-sale warranty claims. Should on-site assembly, commissioning, or basic user training be required under incidental services, the supplier must deploy competent personnel to execute these tasks efficiently.

80/20 Preference Point System: A standard South African public procurement scoring framework where 80 points are awarded for competitive pricing and 20 points for designated socio-economic goals. This tender allocates the full 20 points exclusively to enterprises that are 100% owned by Black African women.

CSD & Tax Compliance: Bidders must be actively registered on the Central Suppliers Database (CSD) with validated tax clearance status. The purchasing institution will verify this electronically; failure to validate results in automatic disqualification.

General & Special Conditions of Contract (GCC/SCC): These clauses define the legal and operational framework of the agreement. Key provisions include a ninety-day price validity period, inclusion of all taxes and delivery costs in the quoted price, penalty deductions calculated at the prime interest rate for delayed deliveries, and termination rights for non-performance or fraudulent practices. Prices must remain firm throughout the contract period.
