Objectives

The primary objective of this tender is to procure the supply and delivery of printer ribbons and cartridges, as well as the rendering of printer maintenance services for Mossel Bay Municipality. The aim is to ensure the availability of quality printing consumables and reliable maintenance support over a three-year period from July 2026 to June 2029.

Scope

The scope encompasses:

• Supply and delivery of a comprehensive range of printer ribbons and cartridges for various printer models and brands, including HP, Canon, Epson, Samsung, Brother, and others.
• Provision of printer maintenance services, including quarterly servicing, major repairs, and support for printers on which ribbons and cartridges are supplied.
• Provision of both original and compatible (generic) toner and ink cartridges, with specified quantities and detailed product descriptions.
• Adherence to specified technical and quality standards, and timely delivery of all items and services.

Technical Requirements

The technical requirements include:

• Provision of a wide range of printer cartridges, toners, ribbons, and ink for specified printer models, with detailed product codes and descriptions.
• Supply of both original OEM products and compatible/generic alternatives, with clear pricing for each.
• Compliance with specified quality standards, including warranties of 12 months for supplied goods.
• Provision of maintenance services, including quarterly servicing, major repairs (rollers, fuser units, etc.), and prompt response to service requests within 48 hours.
• Adherence to specified key performance indicators such as product quality, timely delivery, and service responsiveness.
• Provision of detailed pricing schedules covering three years, with specified quantities and unit prices.
• Compliance with procurement regulations, including tax and municipal compliance, BBBEE requirements, and proper documentation.

Skills Requirements

The skills and experience required from bidders include:

• Proven experience of more than 3 years in supplying printer cartridges and maintenance services.
• Demonstrable technical expertise in printer maintenance, including knowledge of various printer models and repair procedures.
• Qualified personnel, such as trained printer technicians with verifiable CVs indicating at least 1-3 years of relevant experience.
• Ability to provide prompt and effective maintenance support, including on-site repairs and major component replacements.
• Capacity to supply both OEM and compatible cartridges, with proof of previous supply contracts or references.
• Understanding of procurement and contractual compliance, including adherence to quality standards, delivery timelines, and reporting requirements.
