Objectives

The primary objective of this tender is to appoint a panel of accredited service providers within Buffalo City Metropolitan Municipality to supply and deliver catering services for the Department of Cooperative Governance and Traditional Affairs (CoGTA) over a period of twenty-four (24) months. The initiative aims to streamline the procurement process for catering services, reduce delays caused by late requests, and ensure the consistent provision of high-quality catering for departmental needs.

Scope

The scope encompasses the supply and delivery of catering services as per specified menus, including breakfast, lunch, snacks, beverages, and special dietary requirements. The service providers must be capable of providing quotations within short notice (24 hours for standard requests and 2-4 hours for urgent cases), deliver on time, and supply all necessary utensils and crockery. The scope also includes compliance with health, safety, and hygiene regulations, providing meals for various events, and supporting special dietary needs upon request.

Additional scope details include:

• Provision of catering for meetings, events, and unforeseen urgent requests.
• Supplying a variety of menu items as specified in the tender documentation.
• Ensuring meals are freshly prepared, of high quality, and compliant with occupational health and safety standards.
• Delivering meals at designated locations within Buffalo City Metropolitan Municipality.

Technical Requirements

The technical requirements include:

• Provision of a menu with specified items such as sandwiches, scones, muffins, stews, fish, and beverages, with indicative quantities.
• Ability to provide quotations within 24 hours and urgent quotations within 2-4 hours.
• Delivery of meals and catering equipment (cutlery, crockery, utensils) as specified.
• Compliance with occupational health, safety, and food hygiene regulations, including dress code (hair covering, aprons).
• Provision of meals for special dietary needs, clearly labeled and marked.
• Proof of relevant experience, including at least three successfully executed projects valued at R10,000 each within the past 24 months.
• Valid municipal health and environmental certificates.
• Location within Buffalo City Metropolitan Municipality.

Skills Requirements
