Objectives

The primary objective of this tender is to appoint a panel of service providers responsible for the supply and delivery of stationery and related items to the Road Traffic Management Corporation (RTMC) for a period of three (3) years. The aim is to establish reliable procurement channels, ensure efficient service delivery, and foster good supplier relations to support RTMC's operational needs.

Scope

The scope encompasses the supply and delivery of a comprehensive range of stationery and related items, including but not limited to files, binding elements, paper products, envelopes, folders, writing instruments, and miscellaneous office supplies. The selected providers will be required to supply these items as per the specifications outlined in the tender, with the flexibility to support industry trends and product upgrades. Delivery must be timely and adhere to the logistical and quality standards specified by RTMC.

Technical Requirements

The technical specifications include:

• Provision of stationery and related items as detailed in Annexure A of the tender documents.
• Adherence to South African Bureau of Standards (SABS) or South African National Standards (SANS) for all supplied products.
• Capability to supply items in line with industry trends, including new or upgraded products not listed explicitly but required operationally.
• Provision of proof of sourcing, experience, and capacity to supply the required items, including references from reputable suppliers.
• Development of a logistics and delivery plan ensuring timely and quality delivery of goods.
• Compliance with all specified functional and performance standards, including the ability to support a flexible product list based on operational needs.

Skills and Capacity Requirements

Applicants must demonstrate:

• Relevant experience in supplying stationery and office-related items, supported by reference letters and previous client engagements.
• Financial capacity to sustain supply operations, evidenced by bank statements, credit facilities, or commitment letters from financial institutions.
• Capability to source, supply, and deliver the required items efficiently, confirmed through supplier letters and experience in handling large order sizes.
• Logistical expertise to develop and implement an effective delivery plan, including order management, dispatch, and handling procedures.
• Compliance with national standards and procurement regulations, including submission of all required documentation such as SBD forms, preference claim forms, and company registration details.
• Ability to participate in virtual briefing sessions and adhere to bid submission deadlines and procedures.
