Objectives

The primary objective of this tender is to appoint a qualified service provider to supply and deliver general maintenance hardware spares, tools, and consumables as required by the Council for Geoscience (CGS) over a period of three (3) years. The goal is to ensure timely and compliant procurement of maintenance materials to support CGS's operational needs, including building, mechanical, and construction hardware, in accordance with applicable standards and standards compliance.

Scope

The scope encompasses the procurement, supply, and delivery of a wide range of hardware spares, tools, and consumables, including but not limited to:

• Building exterior and interior materials (roofing, walls, ceilings, plumbing, flooring, windows, fencing)
• Mechanical components (filters, pumps, gases, maintenance tools)
• Construction hardware and power tools (hammer, chisel, ladder, rotary hammer, angle grinder, etc.)
• Other maintenance items such as laser rangefinders, angle grinders, diamond blades, paints, tiles, valves, and other hardware consumables

The service provider must also handle the delivery of these materials to the CGS facilities at 280 Pretoria Street, Silverton, Pretoria, as required, ensuring compliance with South African National Standards (SABS, SANS 10222-3) where applicable.

The scope includes sourcing additional spares or consumables at cost-plus markup, supporting the maintenance of CGS's infrastructure and equipment, and providing related services such as inspection, testing, and documentation as per contractual requirements.

Technical Requirements

The technical requirements specify that all supplied hardware spares and tools must:

• Meet South African National Standards (SABS, SANS 10222-3) where applicable
• Be new, unused, and of current models with recent design improvements
• Have no defects arising from design, materials, or workmanship, and be fit for normal use in CGS's operational environment
• Be properly packed to withstand transit, handling, and storage conditions
• Include necessary documentation such as manuals, certificates, and compliance proof

The service provider must also:

• Supply all materials and tools promptly upon request
• Ensure delivery to the specified CGS location in Silverton, Pretoria
• Support the sourcing of additional spares or consumables at cost-plus markup, supported by actual quotes or invoices
• Comply with legislative and safety standards, including tax compliance and BBBEE requirements
• Provide warranties (minimum 12 months for goods, 18 months for shipped items) and support defect rectification within specified periods
• Maintain confidentiality and proprietary information as per contractual obligations

Additionally, the technical compliance includes adherence to legislative frameworks, standards, and the specific specifications outlined in the tender documentation, ensuring quality, safety, and legal compliance throughout the contract period.
