Objectives

The primary objective of this tender is to appoint a suitable service provider responsible for the maintenance, repairs, and servicing of the interior and exterior CCTV systems, access control systems, and security equipment at SABC Limpopo offices located in Polokwane and Thohoyandou. The engagement is on an "as and when required" basis for a period of five years, ensuring the security infrastructure remains operational, efficient, and compliant with relevant regulations.

Scope

The scope of work encompasses:

• Repair Works: Repair of CCTV cameras, biometric/card readers, boom gates, parking booth, and assessment of installed systems.
• Service and Maintenance: Bi-annual servicing of CCTV cameras, servers, access control enrolment machines, biometric readers, security gates, electric fences, X-ray machines, metal detectors, and related security equipment at both offices.
• Refresher Training: Conducting training sessions for SABC staff and security personnel on the use of security equipment during each service interval.
• Ad-hoc Repairs and Fault Response: Responding promptly to faults, faults diagnosis, and repairs of various security systems, including speed stiles, sliding gates, boom gates, CCTV, and other security hardware.
• Preventative Maintenance: Scheduled bi-annual and quarterly maintenance visits, including system audits, documentation, and reporting.
• Emergency Response: Rapid response to emergencies, urgent, and routine callouts, with specified response times.
• Compliance and Safety: Adherence to health, safety, and environmental regulations, including provision of safety documentation and waste disposal.

Technical Requirements

The technical requirements include:

• Provision of qualified technicians with minimum experience thresholds (e.g., 3-5 years in servicing CCTV, access control, and X-ray systems).
• Capability to perform repairs, servicing, and calibration of CCTV cameras, servers, biometric readers, boom gates, electric fences, X-ray machines, and metal detectors.
• Implementation of bi-annual preventative maintenance, including system audits, documentation, and reporting.
• Response to callouts categorized as emergency (within 2 hours), urgent (within 4 hours), and routine (as scheduled).
• Provision of detailed maintenance reports, deviation logs, and system assessments after each service.
• Compliance with health and safety standards, environmental regulations, and security protocols.
• Provision of warranties on parts and services (minimum 12 months).
• Ability to work collaboratively with other contractors and SABC staff without disrupting operations.

Skills Requirements

The successful bidder must demonstrate:

• Experience in servicing and maintaining security systems, supported by at least three reference letters or certificates from recent projects.
• Qualified technicians with proven expertise in CCTV, access control, biometric systems, and X-ray equipment, with relevant certifications (e.g., PSIRA registration).
• Experience in handling complex security infrastructure, including installation, repairs, and system assessments.
• Strong reporting skills, including detailed maintenance reports, deviation logs, and system assessments.
• Knowledge of health, safety, and environmental compliance related to security equipment maintenance.
• Ability to respond promptly to emergency and routine callouts, with a proven track record of timely service delivery.
• Capacity to provide refresher training to staff and security personnel on security equipment operation.
