Objectives

The primary objective of this tender is to appoint a service provider or panel of providers within Buffalo City Metropolitan Municipality to supply and deliver office entertainment items for the Department of Cooperative Governance and Traditional Affairs (CoGTA) over a period of five (05) months. The aim is to establish a framework contract that ensures timely, quality, and quantity-appropriate delivery of office entertainment resources to support departmental operational and strategic needs.

Scope

The scope of the tender includes:

• Supply and delivery of office entertainment items such as beverages, biscuits, sugar, creamer, coffee, and related consumables as specified in the specifications document.
• Provision of additional items as required during the contract period.
• Delivery of specified quantities of various products, including water, soft drinks, biscuits, sugar, tea, and coffee-related products.
• Delivery to the designated location within Buffalo City Metropolitan Municipality, adhering to specified timelines.
• Provision of quotations within 24 hours upon receiving specifications and timely delivery as per the contract requirements.

Technical Requirements

The technical requirements include:

• Supply and delivery of specified office entertainment items in accordance with the provided specifications and quantities.
• Provision of quality products that conform to relevant standards and specifications.
• Delivery within the stipulated timeframe, ensuring items are received in good condition.
• Provision of proof of previous successful projects involving supply and delivery of similar items, with a minimum project value of R10,000.00 over the past 24 months.
• Delivery of items to the specified location within Buffalo City Metropolitan Municipality, with proof of address required.
• Ability to provide quotations within 24 hours of receiving specifications.

Skills Requirements

The skills and capacity requirements for bidders include:

• Proven experience with at least three successfully completed projects involving supply and delivery of similar goods, with references on client letterheads.
• Demonstrated ability to deliver quality products within tight timeframes.
• Capacity to provide timely quotations and maintain effective communication with the department.
• Proof of operational presence within Buffalo City Metropolitan Municipality, supported by valid municipal utility bills, lease agreements, or confirmation letters.
• Compliance with tax and registration requirements, including registration on the Central Supplier Database (CSD) and proof of tax compliance.
• Understanding of procurement policies and adherence to the stipulated bid conditions and legislative framework.
