Objectives

The primary objective of this tender is to appoint two (2) service providers responsible for supplying, printing, and delivering sport apparel and promotional materials for all sport and recreation events organized by Polokwane Municipality over a period of three (3) years.

Scope

The scope encompasses the provision of a wide range of sports-related apparel, equipment, and promotional items, including:

• Sport and recreation apparel such as T-shirts, golf shirts, netball kits, soccer kits, volleyball kits, tracksuits, jackets, caps, and other sportswear.
• Sports equipment including balls (soccer, netball, rugby, tennis), whistles, markers, flags, and training gear.
• Promotional materials such as banners, posters, backdrops, tents, tablecloths, banners, and other branding items.
• Sporting prizes including trophies, medals, and engraved awards.
• Additional sports accessories and equipment as specified in detailed bid documents.

The services include design, production, quality assurance, delivery, and after-sales support for the duration of the contract.

Technical Requirements

The technical specifications for the apparel and equipment include:

• Use of durable, skin-friendly fabrics meeting international sportswear standards.
• Designs must incorporate branding guidelines, logos, and branding rights as specified by the municipality.
• Prototypes or samples must be approved prior to bulk production.
• Products must be delivered within agreed timelines, with proper packaging and labeling.
• High-quality printing, embroidery, or sublimation techniques that withstand regular washing and use.
• Provision of warranties against manufacturing defects with timely replacements.
• Provision for specialized sports equipment and accessories not explicitly listed but required for events.

Skills and Capacity Requirements

The bidders must demonstrate:

• Capacity to manage large-scale orders, including prototypes, bulk production, and timely delivery.
• Financial stability with proof of funding or credit facilities of at least R200,000, with a preference for bidders with a balance of R500,000 or more.
• Compliance with legal, tax, and municipal requirements, including valid tax compliance status and municipal account payments.
• Ability to provide after-sales support, warranties, and replacements as needed.
• Knowledge of branding, design, and printing techniques suitable for sports apparel and promotional items.
• Capacity to handle additional sporting equipment and accessories as per project needs.

In summary, the successful service providers must possess the technical expertise, proven experience, financial capacity, and logistical capability to deliver high-quality sports apparel and promotional materials consistently over the three-year contract period.
