Objectives

The primary objective of this tender is to procure and supply insulated service carts, specifically food trolleys, for use in hospitals across the Eastern Cape Province. The aim is to establish a Service Level Agreement with qualified service providers to deliver these carts to various hospitals on an "as and when required" basis over a period of 36 months, ensuring efficient food service operations in the healthcare facilities.

Scope

The scope encompasses the supply and delivery of insulated food service carts, including various sizes and types such as:

• Insulated ward service carts (40 Tray, 30 Tray, 20 Tray, 10 Tray)
• Tea trolleys (Plastic and Stainless Steel)
• Insulated beverage servers (19L and 9.4L)
• Delivery trolleys

The delivery will be made to multiple hospitals within the Eastern Cape Province, organized into clusters and districts, with the contract covering a period of 36 months. Bidders must bid for all specified items in each cluster, and the contract will be awarded per cluster based on the highest scoring bids.

Technical Requirements

The technical specifications include:

• Products must be new, unused, and conform to the latest models with all recent design improvements.
• Items must be compliant with relevant standards, including SABS certification where applicable.
• Brochures and technical data sheets must be provided, showing all items listed in the specifications.
• Suppliers must provide proof of manufacturer or distributor status, including agreements and compliance certificates.
• Products must be packaged individually with clear labeling, including bidder name, product description, code, manufacture and expiry dates, and batch number.
• Delivery within 21 days of order receipt, with goods transported securely and in accordance with delivery conditions.
• Prices must be firm for the first year, with allowable adjustments based on CPI for subsequent years.

Skills and Qualifications Requirements

Applicants must demonstrate:

• Experience in supplying and delivering similar goods to public or private healthcare institutions, with evidence such as client reference letters (minimum 2 years experience, with references not older than 5 years).
• Financial capacity to support delivery, evidenced by recent bank statements (minimum two months) or a support letter from a financial institution.
• Compliance with all mandatory requirements, including submission of signed bid documents, declarations, and supporting certificates.
• Legal and regulatory compliance, including registration on the Central Supplier Database (CSD), tax compliance, and relevant certifications.
• Capability to provide all specified products in the required quantities and sizes, with proof of manufacturing or distribution rights.
