Objectives

The primary objective of this tender is to appoint a qualified service provider to undertake maintenance, servicing, and repairs of standby generators in Area 2 for a period of 36 months. The contract aims to ensure reliable operation of generators through scheduled maintenance, emergency repairs, and technical support, thereby supporting the Department’s infrastructure and operational needs.

Scope

The scope of work includes:

• Provision of routine preventive maintenance for various generator models and sizes, including major and minor service visits.
• Inspection, testing, and certification of generator systems and components.
• Repairs, replacements, and overhauls of generator parts such as alternators, engines, electrical systems, and control panels.
• Management of spare parts, consumables, and materials required for maintenance activities.
• Provision of technical reports, maintenance logs, and compliance documentation.
• Adherence to safety, health, and environmental standards during service delivery.
• Coordination with the Department for site access, inspections, and scheduling of maintenance activities.

Technical Requirements

• Availability of qualified technical personnel, including electricians, diesel mechanics, and specialists with relevant trade tests and certifications.
• Provision of detailed maintenance schedules, checklists, and procedures aligned with manufacturer specifications and industry standards.
• Use of approved and certified spare parts, with documentation of part serial numbers and warranties.
• Implementation of a comprehensive maintenance management system, including logs, reports, and safety plans.
• Compliance with all applicable health, safety, and environmental legislation, including security clearance where necessary.
• Provision of 24-hour response time for breakdowns and emergency repairs.
• Adherence to the specified maintenance intervals (e.g., every 100-250 hours, 500 hours, etc.) as per the schedule.

Skills and Qualifications Requirements

• Registered electrical installers and trade-tested electricians with valid certifications and licenses.
• Certified diesel mechanics with relevant trade tests and experience in generator maintenance.
• Proven experience in maintaining and repairing generators of similar size and complexity, supported by reference letters and project documentation.
• Ability to develop and implement maintenance plans, safety protocols, and quality assurance procedures.
• Competence in using diagnostic tools, testing equipment, and software related to generator systems.
• Knowledge of applicable standards such as SANS 1200, ISO, and manufacturer specifications.
• Capacity to manage logistics, spare parts inventory, and reporting systems effectively.
