Objectives

The primary objectives of this tender are to establish a panel of qualified service providers to supply and deliver cleaning materials consistently to Flagstaff and Lusikisiki facilities over a period of 12 months. The aim is to ensure continuous availability of cleaning supplies, facilitate reliable and urgent service delivery, and support high productivity in municipal workplaces.

Scope

The scope encompasses the supply and quarterly delivery of bulk cleaning materials to designated municipal facilities in Flagstaff and Lusikisiki, with the possibility of additional deliveries as needed. The list of items includes various cleaning chemicals, equipment, and consumables such as floor polishes, cleaners, disinfectants, toilet papers, cleaning tools, and protective gear. The quantities and specific items are reviewed quarterly, and the list may vary based on end-user requirements.

Technical Requirements

• Provision of a comprehensive list of cleaning materials with specified quantities, quality standards (SABS approved), and unit prices.
• Delivery of items in accordance with the agreed schedule, ensuring timely and consistent supply.
• Items must meet quality standards, be new and unused, and incorporate recent design and material improvements.
• Suppliers must provide proof of traceable experience in institutional cleaning services, with references for similar projects.
• Delivery must include proper packing, documentation, and adherence to safety and health standards.
• Invoices must be submitted upon each delivery, verified by the end-user department.
• Service providers should be capable of delivering at short notice and handle varying quantities as per municipal needs.
• Compliance with all technical specifications, safety, and environmental standards as specified in the tender documentation.

Skills and Skills Requirements

• Proven experience in supply and delivery of institutional cleaning materials and related services.
• Traceable references demonstrating successful completion of similar projects, with project values between R100,000 and R700,000.
• Capacity to manage logistics, inventory, and timely delivery in accordance with municipal schedules.
• Ability to provide technical support, training, and after-sales service where applicable.
• Knowledge of quality standards (SABS) and compliance with health and safety regulations.
• Financial stability and compliance with tax and regulatory requirements, including SARS tax clearance and BBBEE status.
• Capacity to adapt to varying quantities and urgent delivery requests, maintaining high service levels.
