Objectives

The primary objective of the tender is to procure an innovative and tailored Employee Wellbeing Programme (EWP) that comprehensively addresses all aspects of employee wellbeing, including physical, financial, social, mental, emotional, and career wellbeing. The programme aims to increase employee engagement with wellness initiatives and promote overall employee health and thriving lives. It is intended to be implemented over a three-year period with an option to renew for an additional 12 months.

Scope

The scope of work includes:

• Provision of multidisciplinary health and wellness professionals such as Psychologists, Psychiatrists, Dieticians, Bio kineticists, Social Workers, Financial Advisors, Debt Counsellors, Wellness Coaches, and Personal Trainers.
• Continuous evaluation and enhancement of the EWP, including feedback and integration of services.
• Communication of the programme to all employees and their immediate household members via email and other channels.
• Support for employees with personal and work-related problems, including behavioral, emotional issues, and crises such as suicide, anger, violence, and loss, with counselling sessions as needed.
• Care Centre services for managers, including assessment, intervention, and management support, via telephone, online, or in person.
• Implementation of Critical Incident Stress Management (CISM) including pre-incident planning, immediate support, and post-incident follow-up.
• Provision of 24/7 telephonic and online access to personal financial advisors and legal advisors, covering issues like debt, credit, legal matters, and personal finance.
• Development of communication and promotional campaigns to ensure awareness and repeated engagement, including digital and printed materials.
• Management and employee orientation sessions to inform and encourage programme utilization.
• Regular reporting, including dashboards, utilization data, impact assessments, and trend analysis.
• Support for health and safety compliance, including workshops on relevant legislation and standards.

Technical Requirements

The technical requirements include:

• Delivery of services across all provinces with a footprint of trauma counselling professionals.
• Provision of confidential, accessible, and multilingual support via telephonic, online, face-to-face, and recorded media.
• Implementation of a communication strategy utilizing electronic channels (website, app, email, SMS, WhatsApp) and printed materials (brochures, posters, wallet cards).
• Development of management dashboards and comprehensive reports on service utilization, trends, and impact, with quarterly updates.
• Training and orientation for managers and employees to maximize programme effectiveness.
• Provision of personalized health risk assessments and follow-up engagement.
• Compliance with health and safety legislation, ISO standards, and confidentiality protocols.

Skills Requirements

The skills and expertise required from the service provider include:

• Experience in delivering Employee Wellbeing Programmes, with references from similar clients within the last five years.
• Capability to provide multidisciplinary health and wellness professionals with appropriate qualifications and experience.
• Proficiency in developing and executing communication campaigns and promotional activities.
• Ability to develop and deliver training sessions for management and employees, including orientation and management workshops.
• Expertise in data analysis, reporting, and impact assessment, with the ability to produce dashboards and detailed management reports.
• Experience in crisis intervention, including Critical Incident Stress Management (CISM).
• Strong understanding of health and safety legislation, ISO standards, and confidentiality requirements.
• Languages: Ability to assist and communicate effectively in the most understood languages by South African citizens.
