Objectives

The primary objective of this tender is to engage a service provider to deliver comprehensive Employee Wellness Services across Airports Company South Africa's (ACSA) nine airports and corporate office, supporting the organization’s strategic goal of fostering a positive work environment and a Values-Centric culture. The services aim to promote holistic employee wellbeing—mental, emotional, and physical—to enhance productivity and organizational health.

Scope

The scope includes delivering a range of wellness services at 10 sites with approximately 4,800 employees. Key components are:

• Wellness Programme Management, including project oversight, risk management, and governance.
• Provision of dedicated Client Relations Managers (CRMs) for each cluster to coordinate activities and reporting.
• Onsite psychosocial therapists (social workers/psychologists) for employee consultations and wellness days.
• Employee Assistance Programme (EAP) offering advisory, social, legal, financial, and psychological support, including offsite face-to-face counselling.
• Bespoke wellness experiences for executive and senior management teams, including medical evaluations and wellness days.
• Implementation of wellness campaigns aligned with national health calendars, focusing on mental, physical, financial, and emotional wellbeing.
• Educational and training services targeting various employee groups.
• Development of reports on trends, engagement, and interventions to support organizational wellness metrics.
• Record management, data security, and confidentiality in compliance with relevant legislation.
• Site visits and validation, travel arrangements, and management of third-party service charges.

Technical Requirements

The technical scope encompasses:

• Delivery of psychosocial counselling, wellness campaigns, executive medical evaluations, and digital wellness platforms.
• Provision of onsite and offsite counselling, medical assessments, and wellness events.
• Operational capability to coordinate wellness days, campaigns, and educational initiatives across multiple sites.
• Implementation of a secure digital platform for wellness management.
• Development of detailed monthly, quarterly, and annual reports with data analysis and benchmarking.
• Compliance with data protection laws, confidentiality, and information security standards.
• Verification of service provider resources, including qualified therapists, medical evaluators, and client relations managers.
• Adherence to SARS tax compliance and registration requirements.

Skills Requirements

The tender specifies the following skills and experience criteria for the service provider and key personnel:

• Company Experience: Minimum of 5 years’ experience in providing psychosocial counselling, wellness campaigns, and executive medical evaluations, with evidence through reference letters and supporting documents.
• Personnel Qualifications:
  • Three Client Relations Managers (minimum NQF Level 6 or equivalent) with at least 3 years’ experience in EAP and wellness services management.
  • Ten onsite psychosocial therapists (social workers/psychologists) with relevant qualifications and experience.
  • Medical practitioners for executive evaluations with appropriate certifications.
• Operational Skills: Ability to coordinate multi-site wellness activities, manage digital platforms, develop reports, and deliver tailored wellness campaigns.
• Compliance Skills: Knowledge of confidentiality, data security, and legal requirements, including SARS tax registration and compliance.
• Communication Skills: Ability to develop multilingual EAP services, promotional materials, and effective reporting mechanisms.
