Objectives

The primary objective of this tender is to procure printing services for the supply and delivery of printed publications (such as journals and magazines) for a period of 60 months. The aim is to ensure the consistent production, binding, and timely delivery of these publications to the National Museum, supporting its mission to provide heritage resources, research, conservation, education, and exhibitions.

Scope

The scope includes:

• Printing of in-house designed publications, including journals and magazines, based on print-ready PDFs provided by the Museum’s designers.
• Preparation of quotes aligned with specified page counts and potential increases.
• Printing, binding, and delivery of publications to the Museum’s premises in Bloemfontein within 15 days of receiving purchase orders.
• Rendering of invoices within 5 days of delivery.
• Performance reviews and compliance with contractual and quality standards over the 60-month period.

Technical Requirements

The technical specifications include:

• Receiving print-ready PDFs from the Museum’s in-house designers along with print specifications, which may vary depending on the number of pages.
• Providing accurate quotes based on page counts and potential variations.
• Printing on specified paper types (e.g., 80–90 gsm gloss white for journals, 100 gsm gloss white for magazines).
• Binding using perfect binding methods.
• Delivering printed publications within 15 days of purchase order receipt.
• Rendering invoices within 5 days post-delivery.
• Ensuring the ability to handle multiple publications simultaneously, with in-house machinery and resources to prevent reliance on outsourcing.
• Maintaining human capacity with sufficient experience to supervise quality printing, binding, and delivery.

Skills and Capacity Requirements

Bidder must demonstrate:

• Experience of more than 10 years in printing similar publications (journals, magazines, books).
• Having multiple in-house printing sites and machinery to ensure disaster resilience and continuous service.
• At least one in-house printing and finishing equipment capable of handling the required print jobs.
• Qualified human resources with the following experience levels:
  • More than 10 years’ experience supervising quality printing, binding, and delivery.
  • More than 5 years’ experience supervising similar publications.
  • At least 1 year of experience in supervising printing projects.
• Financial stability demonstrated through audited or reviewed financial statements covering the last five years, with a minimum income threshold (e.g., at least R1 million in the last financial year).
• Provision of at least five recent reference letters (within the last 24-36 months) from clients for similar printing projects, verified on company letterheads with contact details.
