Objectives

The primary objective of this tender is to appoint a qualified service provider responsible for the maintenance, repairs, and relocation of drop safes and petty safes within the Prasa Kzn Region. The service provider will support operational security by ensuring safes are functional, secure, and properly relocated as required.

Scope

The scope of work includes:

• Providing maintenance, repairs, and relocation services for safes used in stations and area offices by Customer Services in the Prasa KZN region.
• Ensuring all safes are maintained according to specified standards and as per the maintenance plan.
• Supporting claims related to safes, including job completion documentation, material receipts, and outsourced service invoices.
• Adhering to specified standards and documentation precedence, including occupational health and safety regulations.
• Providing high-standard materials (SABS approved) and ensuring all replacement parts are covered by a 12-month guarantee.
• Completing work within specified timeframes, with penalties for delays, and ensuring quality control throughout the contract duration.

Technical Requirements

The technical requirements for the service provider include:

• Provision of a comprehensive maintenance plan for each safe.
• Use of high-quality, SABS-approved materials for repairs and replacements.
• Qualified maintenance team leaders, with qualifications available upon request.
• Completion of all job cards with details such as location, dates, personnel, and times worked.
• Accurate records of material receipts for purchased and used materials (excluding those included in the Pricing Schedule).
• Submission of invoices for outsourced or hired services, accompanied by signed job cards.
• Adherence to occupational health and safety standards.
• Timely delivery of services, with penalties for late completion (1% per day, up to 10%).
• Contract duration of 24 months, with a maximum contract value of R200,000 inclusive of VAT.
• Provision of returnable documentation, including signed forms, declarations, SARS PIN, CSD registration, and reference letters.
• Compliance with all legal, safety, and procurement regulations, including tax compliance and registration on the National Treasury’s Central Supplier Database.
