Objectives

The primary objective of this tender is to procure a supplier capable of providing and delivering frozen food items on an “as and when” required basis for a period of 3 years to Tutuka Power Station Canteen. The process aims to ensure the supply of high-quality, perishable foodstuff that meets food safety standards, maintains cold chain integrity, and complies with Eskom’s environmental and safety requirements.

Scope

The scope encompasses the supply and weekly delivery of a wide range of frozen food products, including vegetables, dairy, meat, seafood, baked goods, and other frozen items, to Tutuka Power Station. Deliveries are scheduled once per week, with occasional additional deliveries, using refrigerated vehicles maintaining temperatures between -5°C and 0°C. All steps from production to delivery must prevent contamination, deterioration, or microbial growth. The contract covers detailed specifications, packaging, transportation, environmental compliance, and quality assurance requirements.

Specific scope details include:

• Provision of frozen food items as per the detailed product list and quantities specified in the tender documents.
• Delivery to be performed weekly, with flexibility for additional deliveries if required.
• Use of clean, weatherproof, refrigerated vehicles with temperature control between -5°C and 0°C.
• Compliance with food safety, hygiene, and environmental standards throughout the supply chain.
• Adherence to Eskom’s environmental management and SHEQ policies.

Technical Requirements

• Vehicles used must be refrigerated, weatherproof, and free from odours, with temperature controls between -5°C and 0°C.
• Frozen items must meet minimum standards for human consumption; non-compliant items will be returned.
• All production, packaging, storage, and delivery steps must prevent contamination and microbial growth.
• Products must be delivered in accordance with specified product standards, including traceability, labeling, and shelf life requirements.
• Suppliers must provide Certificates of Compliance, HACCP or ISO 22000 certifications, and proof of calibration for temperature control equipment.
• Refrigerated logistics capability must be demonstrated with at least two refrigerated vehicles.
• Environmental and safety standards, including pollution prevention and spill management, must be adhered to throughout the supply process.

Skills and Skills Requirements

• Proven experience in the supply and delivery of frozen food items, with at least 36 months of track record in similar contracts.
• Capability to maintain cold chain integrity using reliable refrigerated transportation.
• Knowledge of food safety management systems, including HACCP or ISO 22000 certification.
• Ability to comply with Eskom’s SHEQ and environmental policies, including waste management and pollution control.
• Capacity to monitor and audit compliance, including providing references and testimonials from previous clients.
• Competence in managing logistics, packaging, and transportation of perishable goods under strict safety and hygiene standards.
• Qualified personnel with relevant certifications and experience in food safety, logistics, and environmental management.
