Objectives

The primary objective of this tender is to supply and deliver spares, provide repair services, and carry out maintenance for agricultural equipment, specifically tractors and implements, over a period of 36 months. The aim is to ensure the availability, proper functioning, and longevity of the municipal fleet of tractors used across various departments such as City Fleet, Parks and Recreation, Solid Waste, and Water.

Scope

The scope encompasses:

• Supply and delivery of OEM parts for specified tractor brands including Landini, Holland, John Deere, Massey Ferguson, and Kubota.
• Provision of repair and maintenance services for these tractors and their implements.
• Conducting maintenance, repairs, and associated services as detailed in the tender documentation.
• On-site support including call-out services, repairs, and routine maintenance within specified timeframes.
• Adherence to specified schedules, including scheduled inspections, testing, and quality assurance.

Technical Requirements

The technical requirements include:

• Supply of genuine OEM spare parts with a mark-up percentage not exceeding 10% on spares.
• Provision of repair and maintenance services for specified tractor models for a period of 36 months.
• Availability of services 7 days a week, including public holidays, with standard working hours from 07:30 to 16:00, and after-hours as needed.
• Response time for on-site repairs within 48 hours.
• Maintenance of insurance cover of R5,000,000 for the duration of the contract.
• Compliance with all safety, health, and environmental standards as per applicable legislation.
• Participation in liaison meetings, reporting, and performance monitoring as required.
• Provision of qualified personnel, including proof of relevant certifications and licenses.

Skills and Skills Requirements

The tenderer must demonstrate:

• Technical expertise in servicing and repairing the specified tractor brands and models.
• Experience in providing on-site maintenance and emergency repair services.
• Ability to supply genuine OEM spare parts and demonstrate a reliable supply chain.
• Qualified personnel with relevant technical certifications and licenses.
• Capacity to perform repairs within specified timeframes and maintain high standards of quality.
• Proficiency in health and safety compliance, including occupational health and safety legislation.
• Experience in managing large fleet maintenance contracts and reporting requirements.
