Objectives

The primary objective of this tender is to appoint a service provider responsible for sourcing, coordinating, and managing qualified health and wellness experts to deliver seminars and webinars across six RAF offices as needed. The aim is to promote employee health, wellbeing, and productivity through credible, engaging, and evidence-based wellness interventions over a period of three years.

Scope

The scope includes:

• Identifying, contracting, and managing health professionals such as medical practitioners, psychologists, occupational health practitioners, dietitians, physiotherapists, wellness coaches, etc., ensuring registration with relevant professional bodies.
• Delivering seminars and webinars on topics like mental health, chronic disease management, ergonomics, nutrition, substance abuse, men's and women's health, burnout, resilience, and work-life balance.
• Coordinating and facilitating on-site seminars at six RAF offices and virtual webinars for broader employee access.
• Managing speaker logistics, scheduling, session planning, and platform readiness.
• Ensuring compliance with confidentiality, POPIA, and data protection requirements.

Technical Requirements

The technical requirements encompass:

• Provision of policies and protocols for handling, transporting, and storing confidential and sensitive information securely.
• Use of secure transportation containers and lockable storage facilities.
• Maintaining accurate records of document location, access history, and retention schedules.
• Implementing secure digital storage systems with firewalls, encryption, and intrusion detection.
• Ensuring physical security measures such as controlled access, surveillance, fire suppression systems, and alarm systems at premises.
• Screening and vetting third-party service providers handling personal data, with confidentiality agreements in place.
• Adhering to cybersecurity standards to protect against malware, phishing, and cyber threats.
• Establishing incident reporting and response protocols for data breaches.
• Monitoring and oversight of subcontractors to ensure compliance with data protection and cybersecurity policies.

Skills Requirements

The skills and competencies required include:

• Experience in sourcing and managing health and wellness professionals for corporate settings.
• Ability to coordinate and facilitate both on-site and virtual health seminars and webinars.
• Strong organizational and logistical skills for scheduling, session planning, and platform management.
• Knowledge of relevant professional registration bodies (HPCSA, SANC, SACSSP).
• Understanding of confidentiality, POPIA, and data security standards.
• Proven ability to operate across multiple regions in South Africa, demonstrating a national footprint of qualified specialists.
• Capability to develop tailored content and manage speaker logistics effectively.
• Competence in implementing and maintaining physical and digital security measures.
